Administrative assistants are responsible for a wide range of duties - jobs suitable for people with a general background. Decide if working as an administrative assistant is right for you.

Administrative assistants perform clerical duties and administrative duties to support various types of organizations, and are employed in offices in nearly every business sector. Most entry-level positions are available to those with a high school diploma and good communication and computer skills, but some administrative assistants may need specialized knowledge related to the industry in which they are working.

Responsibilities

As an administrative assistant, you are responsible for a variety of administrative and organizational tasks necessary to keep your employer's business running efficiently and in an organized manner. Your duties will depend on your industry and the company you work for, but may include:


Greet visitors to the workplace and attend to them during their stay.

Respond to inquiries by phone, email and social media and direct them to other employees when appropriate

Type workplace documents, including letters and reports.

Incoming and outgoing mail processing

Create and maintain computer records

Maintenance of paper files

Monitor stock levels and order supplies as needed

Performing basic accounting duties

Reservation of meetings, seminars and conferences, and organize catering for them.

Taking minutes during business meetings

Coordination of appointments of executives and managers

Booking flights, hotel rooms and restaurants for executives and managers


Work environment

Administrative assistants work in office settings in a wide variety of industries. Many are employees of legal and medical offices, government agencies, schools, hospitals, and private companies.


Many administrative assistants share offices with a collection of other administrative professionals or work independently in their own office spaces, usually located near an executive they assist. Administrative assistants often have their own computer workstation and at least one phone on their desk. They rarely share these workstations with other company employees.
